Office Manager
Full-Time Non-Exempt
The Opportunity
The Office Manager is an integral member of Creative Growth’s administrative team and plays a key role in the organization. Reporting to the Executive Director, the Office Manager supports Creative Growth’s administrative, human resources, and facilities maintenance activities, facilitating smooth day-to-day operations of the organization. This is an hourly, full-time position at 35 hours a week, which offers a rich, comprehensive, and competitive medical benefits and retirement plan.
The Organization
Located in the heart of Oakland, Creative Growth Art Center is the oldest and largest nonprofit art studio and gallery for artists with developmental and concurrent disabilities. Since 1974, Creative Growth has played a significant role in increasing public interest in the artistic capabilities and achievements of people with disabilities, providing a professional studio environment for artistic development, gallery exhibition, and representation. Founded upon the idea that all people are capable of producing works of high artistic merit and that the act of creating can be transformative, Creative Growth now serves 160+ artists with disabilities and positions their work within the contemporary art world. At Creative Growth, the process of creating is honored and celebrated, and the impact of that recognition and appreciation transforms the lives of the artists.
Responsibilities include but are not limited to:
Administrative
Organizing, implementing, and improving office operations, systems, and procedures
Ensuring effective telephone and mail communications, both internally and externally
Coordinating tours of the Creative Growth Gallery and Studio
Maintaining office calendar, scheduling meetings, and coordinating miscellaneous office events
Office maintenance, including ordering supplies and maintaining office equipment
Managing relationships with vendors (including price negotiations)
Assisting with board meetings, trainings, and other meetings
Maintaining and configuring CE’s IT and data (FileMaker) systems and responding to questions, with support from IT and database consultants
Human Resources & Payroll
Coordinating timely collection and submission of timesheets, and preparing and submitting payroll, through Gusto online payroll platform
Calculating and issuing Creative Growth client artist commissions
Coordinating the internal recruiting process for open jobs, new hire onboarding orientation, and ongoing employee benefits management
In collaboration with HR consultant and Executive Director, continuously helping to improve HR practices and ensure organization is compliant with Federal/State/City mandates
Facilities
Maintaining Creative Growth’s physical building/facilities and arranging for regular cleaning, repair, and inspections
Ensuring that safety, security, and emergency procedures are current and comply with state regulations
Other
Maintaining confidentiality of sensitive data
Attending, and providing support as requested for, occasional evening and weekend receptions and events
Other duties as assigned
Qualifications
You are an ideal candidate if you:
Are highly organized, detail oriented, accurate, and able to prioritize
Have strong communication skills (oral and written)
Have demonstrated human resource–related skills
Have flexible tech skills, including experience with FileMaker Pro, Microsoft Office, GSuite, and CRM software
Are skilled at researching and sourcing supplies and equipment at best prices
Have strong analytical, time management, and project management skills
Can practice effective team behavior and demonstrate effective interpersonal relationships
Are enthusiastically committed to the vision, mission, and core values of Creative Growth and possess compassion and respect for all client artists and their families
Have experience with arts organizations and/or organizations serving people with developmental disabilities
Share with us a respect for diverse backgrounds and voices and a commitment to inclusion and equity
Are fluent in a language spoken by Creative Growth artists
Requirements
College degree or equivalent work experience (some nonprofit experience preferred)
Strong work ethic, extreme attention to detail, and experienced in a wide range of administrative and organizational support–related tasks
Apple/Mac literacy
Proficiency with Microsoft Office, Google Suite, and FileMaker Pro, or equivalents
Experience with insurance, health benefits, employment, and vendor contract document preparation
Ability to sit for prolonged periods at a desk and work on a computer
Ability to occasionally lift up to 50 pounds
Successful completion of the following background checks and clearances, as mandated by the State of California, California Care Licensing (CCL), for all employees of licensed faRecord of criminal history obtained from the California Department of Justice, i.e., clearance to work in a licensed facility;
o Record of health screening, including negative TB test results; and
o First Aid and CPR certification
Ability to handle and prioritize multiple tasks, and meet deadlines in a fast-paced environment
Able to take responsibility for key tasks and perform them with minimal supervision
Special Environmental Factors
The Creative Growth Studio is a busy, active, open environment, with an average of 75 client artists with disabilities attending classes each day.
The Creative Growth Studio is equipped with heavy machinery in the woodshop, which occasionally makes loud noise and generates dust.
Several administrative offices and meeting spaces are located on the second floor, accessible by two sets of stairs and an elevator.
This position reports to: Executive Director
The Office Manager is a full-time non-exempt position with a robust benefits package. The Creative Growth workweek is 35 hours, 8:30 a.m.– 4:30 p.m., Monday through Friday, with occasional events on evenings and weekends.
